Role Overview
A Remote Secretary provides high-level administrative support from a virtual environment, ensuring smooth day-to-day operations through efficient coordination, communication, and organization.

Key Responsibilities

  • Manage calendars, schedule meetings, and coordinate video-conference logistics across time zones.
  • Draft, proofread, and distribute correspondence, reports, and presentations.
  • Handle email triage—prioritizing messages, flagging urgent items, and drafting replies as directed.
  • Organize and maintain digital filing systems, ensuring documents are accurately labeled and easily retrievable.
  • Arrange travel itineraries and accommodations, including visa paperwork and expense tracking.
  • Serve as the primary liaison with internal teams, clients, and vendors, ensuring timely follow-up on action items.
  • Prepare meeting agendas, take detailed minutes, and track task completion.
  • Support special projects by researching information, compiling data, and delivering summary briefs.

Qualifications & Skills

  • Proven experience (2+ years) in an administrative or secretarial role, preferably in a remote setting.
  • Excellent written and verbal communication skills, with strong attention to detail.
  • Proficiency in virtual collaboration tools (e.g., Zoom, Microsoft Teams, Slack) and cloud-based office suites (e.g., Google Workspace, Microsoft 365).
  • Exceptional organizational abilities and time-management skills, with a knack for multitasking.
  • Discretion and professionalism when handling confidential information.
  • Self-motivated, proactive, and comfortable working independently with minimal supervision.
  • Flexibility to accommodate varying schedules and occasional after-hours support.
